Cancellation

Cancel anytime without termination fees

The subscription runs month to month, with no fixed term and no minimum commitment. You can cancel at any time for any reason, without termination fees or penalties.

Cancellation details
  • Cancellation takes effect at the end of the billing cycle in which WorkflowPros receives your request, and your access lasts through the final day of that paid period.
  • The unused days of that last cycle are not refunded; you have access through all of them.
  • Everything owed through your final billing cycle is still due, including usage charges that build up separately.
  • Your Account Administrator — the person you name to manage access and be our main contact — cancels with a button in the account portal (Section 5.4).
  • You don't have to phone anyone, get approval from support or give a reason for leaving.
  • Before you confirm, the cancel screen must show the date and time your access ends, with the time zone, and confirm you won't be charged for the next billing period.
  • You can also cancel by email or written notice. Email support at the address shown in your portal (Section 1.3). Name the account, give its billing email, and say clearly that you're canceling. We don't accept cancellations made verbally, on social media, or through a third party.

Your phone number

Transferring your number when you cancel

When you cancel, you can port your business number to another provider.

Number transfer details
  • Give WorkflowPros written notice of the port-out together with your cancellation request or before it.
  • WorkflowPros gives you the account details your new carrier needs to start the port, including the PIN and account number. Under Section 10.5, nothing else transfers with the number.
  • Porting out follows the timelines for porting in under Section 10.3: in Canada and the United States, a straightforward port usually takes 5 to 10 business days, but your existing carrier and telecom rules control the timing, and complex ports can take longer.
  • Start the port with your new carrier before your last day of access. If it isn't started by then, WorkflowPros isn't responsible for any interruption in service.
  • If WorkflowPros issued your number instead of porting it in, it belongs to the WorkflowPros platform and gets released once the subscription is over; you can ask for it to be ported to another provider, where carrier and regulatory rules allow.
  • If your number is not eligible to port in, WorkflowPros works with you to issue a new business number through the platform (Section 10.2), and that number is a WorkflowPros-issued one too.

Your data

Your data belongs to you

All data that you, your office users and your field technicians enter, generate or upload in WorkflowPros remains your sole property. This includes customer records and contact information; job history, work orders and service records; invoices, estimates and payment records; photos, documents and attachments uploaded to jobs; notes, communications and internal records; and any other business data created through the platform.

Export and data retention details
  • While your subscription is active, the export tools in the web platform let you export your data yourself at any time.
  • The export formats include CSV and PDF, for data types that support them.
  • If the tools in the platform don't cover what you need, WorkflowPros assists with a full account export on your written request and completes it within 10 business days.
  • Once access ends, WorkflowPros keeps your data read-only for 30 days and may permanently delete it after that; within those 30 days, you can contact WorkflowPros to request an export.
  • Export every record you need before your last day of access. If you don't request an export within those 30 days, WorkflowPros isn't responsible for data you lose.
  • Section 11.1 says that when you cancel, your data stays available for export for 30 days.
  • No export price appears anywhere in the contract. Section 4 lists applicable taxes and the Section 5.6 usage-based third-party charges as the only charges payable in addition to the monthly subscription fee; Section 1.1 says “No surprise fees beyond the subscription fees, applicable taxes and any usage-based third-party charges disclosed in this Agreement.”

Price changes

When and how your rates can change

Your monthly platform fee and rate per active technician stay fixed for 12 months from the date the contract takes effect. You get both on a 30-minute demo.

Rate-change details
  • The 12 months start on the Effective Date — the day both sides have signed (Section 16.1).
  • The fixed rates do not commit you to a minimum term: your subscription remains month to month, with cancellation under Section 7.
  • Adding or removing technicians changes your invoice total at the fixed rate; it does not count as a rate increase.
  • After the 12 months, a change to those rates requires at least 60 days' written notice and cannot take effect before the first billing date on or after both the price lock and the notice period have ended.
  • The platform and technician rates can change no more than once in any 12-month period.
  • The AI receptionist rate for each extra minute is not covered by the 12-month price lock, but it can change only with at least 60 days' written notice, starting on the next billing date after the notice ends.
  • The same 60-day notice applies to any other recurring rate or external charge that WorkflowPros bills you.
  • A rate-card update cannot remove or reduce the 1,000 included AI receptionist minutes or start charging per minute for calls answered by a person; changing either takes a written agreement from both sides under Section 16.4.
  • A change in a tax the law requires is not a fee change of WorkflowPros' choosing; it applies as required by law.
  • If a fee change doesn't suit you, you can cancel under Section 7 ahead of its start and are billed the old rates until your cancellation takes effect; no fee change applies retroactively.
  • Section 5.6 and Section 6.6 take priority over any rate card that conflicts with them and over any clause giving less billing notice than they do.

Migration

Free data migration

WorkflowPros charges $0 for setup, migration, cleanup, data import, and remote training for your team. We extract the agreed data from your old system, including files not available through an API, prepare, clean, map and import it, check the result, and coordinate with your previous vendor under your authorization. There is no cap on the number of records or on data volume, and the same terms apply whether your old system is off-the-shelf, legacy, custom-built or in-house.

Migration scope and conditions
  • Section 5.3 excludes on-site training and support visits in person; the training covered by the $0 fee is remote.
  • The move covers the data both sides agree on: Schedule D (Migration Scope and Service Configuration) records it, and both sides must confirm it before migration starts.
  • WorkflowPros promptly tells you about any source data it cannot access, and a category of data can be excluded only if you expressly agree in writing.
  • On your side: appoint a main contact, take part in the first data and requirements discussion, name the systems and records to move and give your authorization and access through secure channels, make office and field staff available for scheduled remote training, and look over the scope you agreed and the workflows set up for you.
  • You don't have to extract, clean, convert or prepare files, re-enter agreed work orders, or negotiate the release of data with your previous vendor.
  • Under Section 5.6, you pay your previous vendor's own exit or data-release charges; WorkflowPros doesn't mark them up and needs your written authorization before incurring one on your behalf.
  • Section 14.5 allows extra coaching beyond the included program at a fee you and WorkflowPros agree on.
  • Until your number's port into WorkflowPros is complete, keep your account with your current carrier active and in good standing; if you cancel that service before then, the number is lost and cannot be recovered.

Monthly costs

What you pay each month

You pay a monthly platform fee plus a rate for each active technician account, including the first. You get both amounts on a 30-minute demo. The contract defines a Field Unit as one named technician with an active mobile app account. Under Section 3.3, office users are unlimited and carry no extra charge.

Monthly charges and conditions
  • Applicable taxes are added to the fees.
  • Your billing currency is confirmed in Schedule A, the contract's customer and order form: Canadian dollars for customers in Canada and US dollars for customers in the United States.
  • Four kinds of outside charges are billed separately from your subscription:
    • payment processing fees, set by the payment company at its disclosed rates;
    • third-party services you subscribe to;
    • SMS carrier or delivery fees, rental of any number past the first one included, and carrier registration or compliance fees, charged only as recorded in Schedule D before that service goes live;
    • your previous vendor's own charges.
  • The AI receptionist comes with 1,000 call minutes per monthly billing cycle, shared across your whole company; minutes you don't use don't carry over, and each minute beyond the 1,000 is billed at the extra-minute rate, which you get with your price on a 30-minute demo.
  • Section 5.3 excludes from the standard monthly subscription unsupported third-party integrations, hardware and mobile equipment, custom development outside the standard platform, on-site training and in-person support visits; these may need separate arrangements, fees or third-party agreements.
  • A person who does both office and field work, such as an owner who dispatches and runs service calls, can hold an office seat and a technician license and is counted as one Field Unit.
  • Office logins are for office staff, and mobile app logins are for techs. Sharing logins between the two groups isn't allowed and can lead to adjusted billing.
  • Removing a technician does not refund or prorate the cycle already paid; that license stays usable until the cycle ends (Sections 3.4 and 3.5).
  • Porting or issuing phone numbers beyond the first one is charged at the rates in the rate card that Section 5.6 refers to (Section 10.2).
  • Section 4 lists applicable taxes and the Section 5.6 usage-based third-party charges as the sole extra amounts besides the monthly subscription fee; Section 5.3 says the items it lists may carry additional fees, and Section 14.5 puts extra coaching at a fee agreed between both sides.

When billing starts

When you start paying, and how often

Billing begins with the Subscription Start Date: WorkflowPros formally activates your account that day, and the date is confirmed when WorkflowPros receives your authorization to charge your payment method and your signed agreement. The contract does not specify a free service period.

Billing and onboarding details
  • Automatic monthly charges to your payment method on file begin on the First Invoice Due Date, entered in Schedule B, the contract's pricing schedule (Section 3).
  • Neither onboarding nor an extension of it delays the start of billing.
  • Your first invoice is for a full monthly cycle starting with the Subscription Start Date, with no proration for a partial first month.
  • You are billed in advance, on one fixed date each month (Section 3).
  • Onboarding begins no later than 2 business days after the Subscription Start Date, lasts 15 calendar days (Section 8.1) and ends on Day 15.
  • If onboarding runs past Day 15 and the delay is caused by WorkflowPros alone, your next invoice carries a service credit: the prorated platform fee for the days of delay.

Call recordings

Call recordings and logs when you cancel

The contract's data export clauses do not explicitly mention call recordings or call logs. Its general data ownership clause states that business data you generate on the platform belongs to you.

Recording and export details
  • Word for word, the clause includes “notes, communications, and internal records; and any other business data created through the platform.”
  • Call recordings, logs and transcripts appear once in the contract, in Schedule D, D1, as a data category to be confirmed for migration into WorkflowPros, not for leaving; in this edition, the line where it would be confirmed is blank.
  • Self-service export through the platform's tools is available only while your subscription is active.
  • Section 11.3 names CSV and PDF among the export formats, where the data type supports them, and does not mention audio files.
  • After access ends, WorkflowPros keeps your data read-only for 30 days, and you can ask for an export in that time (Section 7.3).
  • The call log the contract does require covers the AI receptionist: the outcome of each call, every automated action it takes and each escalation to a person must be logged for review.

Support

Support and changes to your setup

24/7 technical support from real people comes with your subscription, weekends and holidays included. Call us or email info@workflowpros.io. Initial setup, reconfiguration and subsequent configuration changes are included at no extra charge, whether requested during onboarding or after go-live.

Support terms and target response times
  • Support stays part of your active monthly subscription after the post-launch coaching program ends.
  • Target times for the initial response from a support team member: 1 hour when the whole platform is down, an active security incident is suspected, or calling, dispatching or taking payments has stopped completely with no reasonable workaround; 4 hours for a core function that is badly impaired while operations partly continue; 24 hours for everyday questions, configuration help and other non-critical requests.
  • These are targets for a first reply, and the contract says they “are not guaranteed resolution times”; WorkflowPros “will use commercially reasonable efforts to meet” them.
  • Where available, the account portal gives you a third way to reach support.
  • Training at your location and support visits in person are outside the subscription (Section 5.3); support is given remotely.
  • Hardware, on-site visits, unsupported integrations and genuinely new custom development come under Section 5.3: each has to be identified separately, and you must approve it in writing before you can be charged.
  • Coaching beyond the included 15- to 30-day program is optional, at a fee both sides agree on.
